Human Resource Associate Intern

Position Summary

The HR Associate Intern will support Evidence Frontiers’ consultant talent management function by maintaining an accurate consultant database, organizing and reviewing consultant CVs, coordinating communication with consultants about consultancy opportunities, and drafting consultant bios for proposals and organizational materials. The role requires strong attention to detail, professional communication skills, and the ability to handle sensitive information with discretion.

Key Responsibilities

Consultant CV Sorting, Screening and Organisation

  • Receive, sort, and catalogue consultant CVs into defined categories (e.g., thematic expertise, sector, methods, languages, regions, seniority).
  • Conduct basic quality checks to ensure CVs meet minimum standards (formatting, completeness, dates, contact details, relevant experience).
  • Maintain a consistent naming and filing structure for CVs and supporting documents.
  • Flag missing information and follow up with consultants to close gaps.

Consultant Database and Records Management

  • Create and update consultant profiles in Evidence Frontiers’ talent database (e.g., contact details, availability, rates, country presence, languages, compliance documents).
  • File and maintain consultant information securely, ensuring documents are easy to retrieve for proposals and mobilization.
  • Track key documents (e.g., IDs, tax compliance, company registration where applicable, references, signed agreements—if required).
  • Support periodic database clean-ups and audits (duplicate profiles, outdated CVs, inactive consultants).

Communication and Opportunity Coordination

  • Communicate with consultants professionally about consultancy opportunities, expressions of interest, and availability checks.
  • Share Terms of Reference (ToRs), gather required submission materials (CVs, bios, availability, rates, sample work), and confirm deadlines.
  • Maintain a simple tracking log of outreach and responses (e.g., contacted / responded / available / shortlisted / not available).
  • Support scheduling of short screening calls or interviews where required.

Drafting Consultant Bios and Proposal Inputs

  • Draft concise, tailored consultant bios from CVs (typically 100–150 words and 200–300 words formats) aligned to specific ToRs.
  • Ensure bios accurately reflect consultant expertise, role fit, and relevant achievements, using clear and professional language.
  • Adapt bios for different uses (proposal team sheets, project briefs, website/marketing profiles) while maintaining consistency

Process Support and Continuous Improvement

  • Support the development and refinement of internal templates (bio template, CV checklist, database fields, email scripts).
  • Propose practical improvements to consultant filing systems and retrieval processes to increase speed and accuracy for proposal development.
  • Provide weekly updates on progress, gaps, and emerging needs in the consultant roster.

Qualifications and Experience

  • Recent graduate or final-year student in Human Resources, Business Administration, Communications, Social Sciences, or related field.
  • Strong written and verbal English communication skills.

  • Ability to work with confidentiality and handle sensitive personal information appropriately.
  • Strong organizational skills and ability to meet deadlines in a fast-paced proposal environment.
  • Proficiency in Microsoft Office and/or Google Workspace (Docs, Sheets, Drive).
  • Ability to synthesize CV information into clear, accurate bios.

Duration and Time Commitment

  • Internship duration: 3-6 months (typical)
  • Time commitment: Full-time preferred; part-time may be considered based on availability and workload.
